Case Study: All-in-One Platform Migration from MemberVault, Keap, Leadpages to GHL
Client Details
Client Type: Digital Business (Courses + Lead Gen) in the Health and Wellness Space
Role: Lead Tech (under Agency)
Timeline: 2 months
Tools Involved: GHL (GoHighLevel), MemberVault, Keap, Leadpages, Squarespace, Multiple WordPress sites, Stripe (direct checkout), Samcart
The Challenge
The client was running a multi-platform tech stack that had grown increasingly complex and difficult to manage:
-
- MemberVault for main course delivery and digital product hosting
- Keap (Infusionsoft) for CRM, automations, and email
- Leadpages for opt-ins, landing pages, and sales pages
- Multiple payment processors
- Squarespace for a membership (website, checkout, content delivery)
- WordPress for podcast and several program-specific websites
- Thrive Quiz (wordpress) for weighted quiz
This setup led to:
-
- High monthly software costs
- Fragmented customer data
- Inconsistent user experience
- Limited automation and reporting capabilities
The goal was to consolidate everything into a single streamlined platform using GoHighLevel (GHL) without losing existing data, functionality, or customer experience.
The Solution
As the Lead Tech and Implementor, I led a comprehensive migration and system rebuild across platforms:
1. Custom Weighted Quiz
- Recreated a custom weighted quiz funnel (35 questions, 12 archetypes involving different weight per question, 5-point grading per question) inside GHL (total of 11 workflows for the questions and computations alone), previously hosted on WordPress using Thrive Quiz
- Ensured accurate scoring logic and seamless CRM tagging (moved out of Keap to GHL)
- Connected quiz results to segmented email automation

2. Data & CRM Migration
-
- Migrated 30,000+ contacts from Keap to GHL
- Recreated, mapped and cleaned up automations, workflows, tags, and email sequences
- Warmed up a new custom sending domain to preserve deliverability and reputation
3. Course & Membership Rebuild
-
- Rebuilt all courses and membership areas inside GHL, including their corresponding checkout and/or opt-in pages
- Recreated custom onboarding and drip sequences
- Ensured access levels and user roles were properly mapped from MemberVault
4. Funnels & Sales Systems
-
- Recreated multiple high-converting lead magnets and sales pages from Leadpages inside GHL
- Rebuilt checkout flows with upsells, downsells, and order bumps
- Integrated payment gateways, confirmation pages, and email receipts
5. Domains & Deliverability
-
- Set up and warmed a dedicated sending domain
- Configured DKIM, SPF, DMARC records for improved email deliverability
- Built automated list hygiene flows to segment and maintain list health
Upcoming Phase
-
- Migration of Squarespace Membership
- Possibly moving over multiple WordPress websites, including several program-specific websites and a podcast
- SEO audit and redirect strategy to preserve traffic
- Full analytics and tracking system rebuild using GHL + GA4
Results So Far
-
- 36% email open rate (overall, across all published workflows and campaigns) with newly warmed-up GHL sending domain
- Unified client view and automation system = faster campaign execution
- Reduced platform costs from $998 to $97 monthly
- Increased engagement from better-segmented workflows
- Smooth student/course migration with no login issues or data loss
Tech Highlights
-
- Custom field mapping + tag syncing and clean-up
- Dynamic quiz logic using GHL forms
- Migration QA process (checklist, cross-platform testing, rollback plans)
- Deliverability ramp-up strategy over 8 weeks
